When Did I? — Privacy Policy
Last updated: 25 October 2026
When Did I? is made by Made By amble Ltd, a small UK company making useful things for everyday life.
We know that the things you choose to remember can be personal. This policy explains what information we collect, why we need it, who helps us process it, and the choices you have about your data.
The short version? We use your information to make When Did I? work. We don't sell your personal data or use it to target you with third-party advertising.
The details are below, without too much legal waffle.
1. What information we collect
When you use When Did I?, we collect and store certain information to provide the app and its features.
Account information
When you create an account, we collect your email address, a unique account identifier and any name you choose to provide. If you use Sign in with Apple, Apple may provide an email address or private relay address.
Things you choose to remember
We store the entries you create, including their names, dates, history, reminders and any Groups you use. This information is linked to your account so you can access it on supported devices.
Please remember that anything you type into an entry may contain personal information, so consider what you choose to record.
Preferences and settings
We store settings such as your chosen theme, notification preferences, reminder times and onboarding status so the app remembers your choices.
Subscriptions
If you purchase When Did I? Plus, we receive information about your purchase and subscription status through RevenueCat, our subscription management provider. We don't receive your payment card details.
Technical information
Our service providers may process technical information needed to operate and secure the app, such as server requests, authentication events and error logs. This information may include device or browser details and network information.
We do not use your information for third-party advertising or cross-app advertising tracking.
2. How we use your information
We use the information described above to make When Did I? work, keep your account secure and provide the features you've chosen to use.
This includes:
Creating and managing your account, including sign-in and password resets.
Saving your entries, dates, history and Groups so they're available when you sign in on another supported device.
Managing reminders and remembering your preferences.
Checking your Plus subscription status and providing the features included with it.
Responding to support requests, investigating problems and protecting the service from misuse.
Smart Suggestions and AI
When you use Smart Suggestions, the text of the relevant entry (up to 500 characters) is sent to Lovable's AI gateway, which currently uses a Google Gemini model to generate reminder suggestions and insights.
Your name and email address are not included in the AI prompt sent by the app. However, the entry text itself may contain personal information, depending on what you've written.
The suggestions returned by the AI service may be saved alongside your entry in your account.
You can switch Smart Suggestions off in the app's settings if you don't want to use this feature.
AI requests involve processing by external service providers. We don't describe this information as end-to-end encrypted, and we don't promise that every provider immediately deletes its operational records.
Legal reasons for processing
Under UK data protection law, we mainly process your information because it's necessary to provide the service you've signed up for (performance of a contract).
We also process certain information where necessary for our legitimate interests in keeping the app secure, preventing misuse, maintaining the service and responding to support enquiries, provided those interests don't override your rights.
Where a legal obligation applies, such as keeping certain financial records, we process information to comply with that obligation.
We don't use your personal information for third-party advertising or cross-app advertising tracking.
3. Who processes your information
We use a small number of trusted service providers to help When Did I? work. They only need access to information relevant to the services they provide.
Supabase and Lovable Cloud
These services support our accounts, authentication, database and cloud storage. They help us save your entries, Groups, history and settings, and make them available when you sign in on another supported device.
RevenueCat
RevenueCat helps us manage When Did I? Plus subscriptions, purchases and access to paid features.
RevenueCat receives a unique account identifier and information about your purchases and subscription status. We don't send RevenueCat your name or email address as part of our current integration.
Apple
Apple processes information involved in Sign in with Apple and purchases made through the App Store, subject to Apple's own privacy practices.
Lovable AI and Google Gemini
When you use Smart Suggestions, the relevant entry text is processed through Lovable's AI gateway, which currently uses a Google Gemini model to generate suggestions.
Your entry text may contain personal information, depending on what you've chosen to record. We don't include your name or email address in the AI prompt sent by the app.
Website and technical services
Our hosting and supporting services may process technical information needed to deliver the app, maintain security and investigate problems.
The hosted web version also uses Google Fonts, which may receive standard technical information when fonts are requested.
We do not sell your personal information to advertisers or data brokers. We do not use it for cross-app advertising tracking.
We may also disclose information where legally required, or where reasonably necessary to protect the security of our service and its users.
4. How long we keep your information
We keep personal information for as long as it's reasonably needed to provide When Did I?, meet our legal obligations and maintain the security of the service.
Your account and saved entries
Your account information, entries, history, Groups and preferences are generally kept while your account remains active, unless you delete individual information sooner.
You can edit or delete entries within the app whenever you choose.
Deleting your account
You can delete your account directly from When Did I? by opening Settings and selecting Delete Account.
When you confirm deletion, your account and its associated live application records are deleted from our Supabase database.
Account deletion is permanent, so please make sure you're ready before confirming.
Backups and service records
Deleted information may remain temporarily in backups, security records or operational logs maintained by our service providers. These are subject to the providers' retention and deletion arrangements.
We don't currently have a verified, single retention period that applies to every provider, so we won't promise that all copies disappear immediately.
Subscription information
If you've subscribed to When Did I? Plus, certain purchase and subscription records are managed separately by Apple and RevenueCat.
Deleting your When Did I? account does not automatically cancel an active Apple subscription or remove every subscription record held by those providers.
You can manage or cancel your subscription through your Apple account settings.
If you'd like us to assist with a request to remove subscription-related personal information held through RevenueCat, contact support@madebyamble.com. We'll review the request and explain what can be deleted and what may need to be retained for legitimate or legal reasons.
Support enquiries
If you contact us for help, we may retain the correspondence for as long as reasonably necessary to resolve your enquiry, maintain appropriate records and meet any legal obligations.
5. International data transfers and security
Where your information is processed
Made By amble Ltd is based in the United Kingdom, but some of the companies that help us run When Did I? operate internationally.
This means your personal information may be stored or processed outside the UK, including in the United States.
When personal information is transferred internationally, we aim to ensure that appropriate safeguards are in place, including contractual protections or other recognised transfer mechanisms where required by UK data protection law.
How we protect your information
We take reasonable steps to protect the personal information you entrust to us.
These include using authenticated accounts, restricting access to account-specific information and relying on established service providers for cloud storage, authentication and subscription management.
Your saved entries are associated with your account, and our database uses access controls designed to prevent other users from accessing them.
However, no online service can guarantee absolute security.
A note about Smart Suggestions
When you use Smart Suggestions, the relevant entry text is sent to an external AI service for processing. This information is not end-to-end encrypted, and we recommend avoiding highly sensitive information in entries submitted for AI suggestions.
You can turn Smart Suggestions off in the app's settings if you'd prefer not to use it.
6. Your privacy rights
You have rights over your personal information under UK data protection law. We want to make it straightforward to exercise them.
What you can ask us to do
Depending on the circumstances, you may have the right to:
Access the personal information we hold about you.
Correct information that's inaccurate or incomplete.
Request deletion of your personal information.
Ask us to restrict how certain information is used.
Object to certain types of processing.
Request a portable copy of certain information you've provided to us.
These rights aren't always absolute. For example, we may need to retain certain records to meet legal obligations.
Managing your information in the app
You can edit and delete saved entries, manage your preferences, switch off Smart Suggestions and delete your account directly within When Did I?.
To delete your account, open Settings and select Delete Account.
Making a privacy request
You can email us at support@madebyamble.com with any questions or requests about your personal information.
We may need to verify your identity before providing or changing account information, to make sure we're dealing with the right person.
We'll respond without undue delay and normally within one month, in accordance with applicable data protection law.
If you're unhappy with how we've handled your information
Please contact us first so we have an opportunity to put things right.
You also have the right to raise a complaint with the Information Commissioner's Office (ICO), the UK's independent data protection regulator.
You can find information about your rights and how to make a complaint at ico.org.uk.
